Procurement FAQ

Who can register and place orders?
Licensed medical practitioners (physicians, dentists with aesthetic scope), registered aesthetic clinics, and authorised sub-distributors. Professional licence is verified against official registries before account activation. ORVIDA does not supply unregistered individuals or consumer channels.
How long does licence verification take?
Verification takes 24–48 hours on business days. You will receive confirmation by email once your account is activated. During peak periods (August, December) allow up to 72 hours.
What documents are needed to register?
Professional medical licence number (OM number in Portugal, Colegio Médico number in Spain), NIF/CIF, clinic legal name and address, and a contact email. No additional documents are required at registration — ORVIDA verifies digitally against official registries.
What is the minimum order value?
€200 per order. You can combine any SKUs from the catalogue to reach the minimum. No per-SKU minimum quantity. Volume pricing tiers activate from €500/month.
What payment methods are accepted?
Bank transfer (IBAN invoice), credit/debit card (Visa, Mastercard), and SEPA direct debit for recurring accounts. First orders require pro forma invoice. Established accounts with payment history may access 30-day net terms subject to credit assessment.
How is delivery handled?
All orders ship GDP-compliant with temperature monitoring. Standard delivery: 2–3 business days mainland Portugal, 2–4 business days mainland Spain. Express 24-hour available. Orders placed before 14:00 Lisbon time on business days ship same day.
Can I order a sample or trial pack before committing to volume?
Yes. Registered accounts can request a sample allocation of up to 3 SKUs before placing a volume order. Sample availability is subject to stock. Contact info@orvida.eu with your account reference to request samples.
What happens if I need to return a product?
Sealed, unopened products within expiry may be returned within 30 days with prior written authorisation. Quality defects are replaced at no charge — submit lot number and description to info@orvida.eu. Products showing temperature excursion should be quarantined and reported before use.
What if a syringe arrives visibly damaged or shows a temperature excursion?
Stop immediately — do not use the product. Document the lot number, visible condition, and temperature indicator status. Email vigilance@orvida.eu with photos and lot details. Confirmed damaged or compromised product is replaced at no charge within one business day. If any patient has already received treatment from the affected lot, follow the adverse event reporting process and notify INFARMED (PT) or AEMPS (ES) as required by EU MDR Article 87.
Does my clinic need to be registered with INFARMED or AEMPS to order?
No separate clinic registration is required for ordering. The distributor registration obligation sits with ORVIDA, not with individual clinics. What is required is that the ordering practitioner holds a valid medical licence (OM number in Portugal, Colegiado number in Spain), which ORVIDA verifies against official registries before account activation. Your clinic is responsible for its own HCP registration under national professional regulations — this is separate from EU MDR distributor obligations.
